Schedule: Monday through Friday, 8:00 AM to 5:00 PM
Reports To: Director of Wealth Management

Position Summary

Herring Bank is seeking a Trust Officer I or II to join our Wealth Management team with a focus on Personal Trust administration. The position level will be determined based on the selected candidate’s experience, qualifications, and demonstrated level of trust administration expertise.

This position is responsible for supporting or independently administering an assigned portfolio of personal trust and fiduciary accounts, including revocable and irrevocable trusts, estates, IRAs, guardianships, and other investment accounts. The Trust Officer will work closely with clients, beneficiaries, attorneys, advisors, and internal partners to provide exceptional service while ensuring accounts are administered accurately and in accordance with governing documents, applicable regulations, OCC guidelines, and Bank policies.

The position will also support business development and relationship-building efforts and may administer accounts containing non-traditional and hard-to-value assets.

Key Responsibilities

• Administer or assist with the administration of an assigned portfolio of personal trust accounts, including revocable and irrevocable trusts, estates, IRAs, guardianships, and other fiduciary accounts.

• Serve as a primary or secondary point of contact for clients, beneficiaries, co-trustees, attorneys, and outside advisors regarding account-related matters.

• Prepare and review account opening documents, agreements, transfer documents, beneficiary designations, investment objectives, notices, authorizations, and related documentation.

• Review and maintain trust instruments, amendments, court orders, tax forms, wills, leases, agreements, and other account-related documentation.

• Process distributions, payments, receipts, and other account transactions in accordance with governing documents and applicable requirements.

• Monitor account liquidity to support distributions, income needs, tax obligations, and other account requirements.

• Track important account dates, including distribution schedules, required minimum distributions (RMDs), and tax filing deadlines.

• Complete and document periodic account reviews and present findings and recommendations as appropriate based on experience and position level.

• Coordinate and organize information needed for fiduciary income tax return preparation and maintain appropriate supporting documentation.

• Administer or assist with accounts containing non-traditional and hard-to-value assets, including oil and gas interests, real property, private businesses, farm and ranch interests, and other unique assets.

• Research and document unique or illiquid assets to support proper valuation and administration in accordance with applicable OCC guidelines.

• Review account-related legal documents, including wills, trust instruments, leases, and agreements, and coordinate with appropriate resources when additional review is needed.

• Collaborate with Wealth Management team members on investment suitability, portfolio management, account administration, and client service.

• Review and process trades as needed, ensuring accuracy, proper account allocation, and compliance with investment objectives and internal policies.

• Perform on-site real estate inspections as needed.

• Assist with department audits and regulatory examinations.

• Build and maintain strong relationships with clients and referral sources while participating in business development activities, client presentations, community events, and other relationship-building opportunities as appropriate.

• Identify opportunities to introduce clients to additional Bank products and services and make appropriate referrals.

• Maintain compliance with applicable state and federal regulations, OCC guidelines, fiduciary requirements, and internal Bank policies.

• Participate in ongoing training and professional development related to trust administration and Wealth Management.

Qualifications

Trust Officer I


• Bachelor’s degree and at least 2 years of relevant trust experience, OR a high school diploma or equivalent and at least 7 years of relevant trust experience.

• Strong analytical, organizational, decision-making, and time-management skills.

• Effective written, verbal, and interpersonal communication skills.

• Ability to work with minimal supervision while effectively managing multiple priorities.

Trust Officer II

• Bachelor’s degree and at least 4 years of relevant trust administration experience, OR a high school diploma/GED and at least 9 years of relevant trust experience.

• Advanced degree, such as a JD or Master’s degree, preferred.

• Demonstrated experience independently administering trust accounts, including accounts containing non-traditional assets.

• Strong fiduciary judgment and working knowledge of trust and investment law, governing regulations, and OCC guidelines.

• Solid understanding of financial markets, investment theory, and estate planning concepts.

• Ability to independently manage a more complex account portfolio with limited supervisory oversight.

Qualifications for Both Levels

• Experience with Personal Trust and fiduciary account administration.

• Strong client service and relationship-building skills.

• Strong analytical, organizational, and attention-to-detail skills.

• Excellent written, verbal, and interpersonal communication skills.

• Ability to professionally interact with clients, beneficiaries, attorneys, advisors, employees, and management.

• Strong social and networking skills consistent with representing a community bank.

• Proficiency with Microsoft Office applications and the ability to work with trust accounting systems.

• Ability to maintain confidentiality and exercise sound judgment.

• Oil and gas trust experience is preferred.

• Must be able to successfully complete a background and credit check.

• Must comply with Bank policies and applicable state and federal laws, regulations, and guidelines.

• A current driver’s license and appropriate vehicle insurance are required if driving is necessary in the performance of assigned responsibilities.

Additional Information

The position does not have formal supervisory responsibilities. At the Trust Officer II level, the individual may provide informal mentorship and guidance to junior trust staff.

Final position level and responsibilities will be determined based on the selected candidate’s education, experience, qualifications, and demonstrated level of trust administration expertise.
